When you buy rental properties read this letters first




  1. This letter is an attempt to buy the second rental property building in the same neighborhood.

    Dear Mr. and Mrs. Prospects:

    Happy New Year for you and your family! Last year was a very good year for us. We bought the (rental building address) apartment building from Mr. and Mrs. Owners for $180,000. They sold “by owner” with closing help from “Title Company.”

    Last weekend I noticed some renovation activity inside and outside of your building located (address here). The weather was beautiful and we did some work also. I recall from our previous conversation, that you may consider selling your building sometime this spring.

    Before listing with a real estate agent please consider giving me a call. I like to make you an offer to buy your property, and might save you thousands in commission. I am a serious buyer who can close quickly if the price and terms are right.

  2. When buy rental properties you need full cooperation from seller. You need rent ledger the list with deposits and tax documents for last two years. This letter is an invitation for a dialog about buying Owner’s rental property.

    Dear Mr. and Ms. Owners

    Looking forward at our meeting I think will be a good idea to have some papers ready, I mean: the last two years income statements for (rental property address) and the current year rents and deposits situation. Your property manager can produce easily these papers for you.

    I need these documents to support my application for a mortgage. I am a serious buyer who can close quickly if the price and terms are right.

    The “Local” restaurant is an excellent meeting choice. We know where it is so we meet with you there any Friday after 7:00 PM. or other convenient time for you and us.

  3. After you buy rental properties you have to communicate with yous tenants. This letter is a good start; it is our letter to inform tenants about the ownership and management change, also with a new lease offering at the same time.

    Dear (tenant name)

    First we thank you for your cooperation “Old Property Management” in showings and inside inspection done November 10th.

    Beginning December 27, YEAR the new rental property owner will be “Apartments Limited Liability Company” with Mr. XX as the new manager; his cell phone number is (888) 222-1111.

    To provide new ownership with updated information and to better serve you, please complete, sign, and return the enclosed rental application and the lease agreement in the provided envelope before January 15, NEXT.

    There is no charge for application screening, since you have been already approved. The last June ownership change experience at next building shows this kind of transitions could be very smooth for you and management.

    The signed leases with “Old Property Management” will be recognized for month of January NEXT. The new lease will start February 1st NEXT and continue until July 31st next+1 or July 31st next+2, your choice.

    Please sign the enclosed lease agreement, as that will secure a fixed rate for the duration of the lease. All details are provided in “Residential Lease Agreement”. The attachments are the Standard Rental Application, Move - in form, and a return stamped envelope.

    Some securities deposits/rents should be updated for getting everybody on the same level of responsibility. Since the “Old Property Management” hesitated to make any changes due to this sale, we have to make them for better and more competitive service. You will recognize the rents at this new level are still very attractive.

    Very soon, we will start repairing/cleaning the gutters, trimming trees, make the back door coin laundry operational, and clean the dirt and excess water on roads - if the next building manager will cooperate. Starting NOW you may share the South building laundry, and we’ll see how this setting goes. The manager will provide the laundry keys upon request.

    We will make improvements. We have in mind adding air-conditioning to all units.We wish you an enjoyable residence, and HAVE A HAPPY NEW YEAR!

  4. Latter with the check paying first installment of my note as promised:

    Dear Ms. Sarah Seller:

    We have not met so far, but we did good business together. Thanks for your cooperation! It is about the time for me to pay you $10000 and interest $1800, so here is the check. Next year about this time will be the second and last payment for my note.

    The attached papers are for IRS, you and me. IRS provided the forms 1096 and 1098 after I did my research and I consulted with a tax specialist. To make it simple I filled what I had known, both forms, and I marked copies with yellow where you have to fill them up.
